Due to continued growth we have a position in our busy Service Department for a Service / Warranty Administrator

We have a vacancy for a service/ warranty administrator in a retail service department.

Hours of work Monday – Friday 8am to 5pm and every other Saturday morning

This position would ideally suit a candidate from the automotive or commercial vehicle industry.

 

  • To handle all incoming service telephone calls, process the information given, and deal with any requests from customers.
  • To work within the Service Department to help with the smooth and efficient running of the department so that the department meets its targets and the Company its objective.
  • To book in workshop work and load and programme the workshop to maintain a steady flow of work through the workshop and maintain good customer relations at all times
  • To ensure that all paperwork associated with the department is completed correctly and passed processed efficiently.
  • To raise job cards liaise with the parts department to make sure that the parts will be available for the job.
  • To liaise closely with the workshop manager to ensure jobs are completed as the customer requires and the customer is always kept informed about the progress and completion or delays of the job.
  • To load all warranty claims and use the correct procedures, update the system with warranty dates and process all paperwork for extended warranties where necessary.
  • To ensure that the filing system is kept up to date and in an orderly fashion.
  • To maintain customer service due dates on the computers system and with Manufactures where ever needed and ensure reminders for services are done on time.
  • To ensure that authorization for jobs has been obtained from the customer wherever it is necessary.
  • To print draft, check parts on all job cards off and once signed by the department managers invoiced and posted to customers.
  • You will also be required to ring customers after the services to enquire about the work done and where ever possible up-sell additional work.
  • To complete and invoice both retail and internal job cards monthly and oversee any outstanding jobs are dealt with within company deadlines.

 

This job is full time and the salary will be negotiable depending on previous experience.

Candidates must be customer focussed, be well presented and have excellent computer skills and telephone manner. Be able to work quickly under pressure and to set time scales with a high degree of accuracy and great attention to detail. Good time management, self-motivation and the ability to prioritize workloads.
